1) Staff Training

We train and raise awareness among staff members and our professionals through the following activities:

  • Annual reminder of confidentiality obligations.
  • Cybersecurity and personal information protection training.

2) Important Definitions

In the Policy, “Confidentiality Incident” means: (i) unauthorized access to personal information; (ii) unauthorized use of personal information; (iii) unauthorized communication of personal information; or (iv) loss or any other breach of personal information protection.

“Personal Information” means any information that relates to an individual and allows, directly or indirectly, their identification.

3) How We Handle Your Personal Information

Collection of Personal Information

In the course of its activities, RocklandMD Surgery Center collects various personal information. Consent to collect this data is generally obtained before collection, either implicitly or explicitly.

  • To provide and maintain our medical service, including follow-ups.

  • To provide you with news, special offers, and general information about other goods, services, and events we offer, unless you have opted out of receiving such information.

5) Access to Personal Information

Personal information is securely stored on appropriate software based on the type of personal information. Access to personal information on different software is restricted to users who need it to perform their duties. Each access is protected by a unique password. All accesses are revoked promptly when the person is no longer an employee or freelancer at RocklandMD Surgery Center Inc. Access management for different software is handled by the information technology team.

We may share your personal information in the following situations:

  • With service providers: We may share your personal information with service providers to provide the services you request. The different providers and their security measures are detailed in section 6 below.
  • With affiliated companies: We may share your personal information with our affiliates, in which case we will require those affiliates to comply with this Privacy Policy. Affiliates include our parent company and all subsidiaries or other companies we control or are under common control with.
  • With courts, authorities, and other agencies: In certain situations, we must share personal information with courts, law enforcement authorities, and other agencies. This sharing may be mandatory to respond to requests, warrants, and orders, or to comply with our insurance obligations.

Medical record-related personal information is retained as long as necessary according to applicable provincial medical regulatory rules.

All other personal information is retained as long as necessary in accordance with applicable laws.

When the retention of this personal information is no longer necessary, RocklandMD Surgery Center Inc. ensures it is securely destroyed.

7) Security Measures and Inherent Risks

We follow industry standards to protect the information we collect and receive. Specifically, we have appropriate physical, technical, computer, and administrative safeguards in place to protect your personal information against confidentiality incidents. All employees and service providers at RocklandMD Surgery Center have signed confidentiality agreements and are committed to complying with the strictest personal information security policies.

Despite these measures, given the inherent risks associated with the use of computer systems, we cannot guarantee the security and confidentiality of the information you transmit or provide, and you do so at your own risk. If you have reason to believe that personal information has been compromised, please contact us using the contact information above.

8) Complaint Management

Any complaint regarding the management of personal information by RocklandMD Surgery Center Inc. must be made in writing and addressed to the personal information protection officer by email at confidentialite@rocklandmd.com or by mail at the address mentioned above.

All complaints are treated confidentially. Only the information necessary to process the complaint will be shared with RocklandMD Surgery Center Inc. staff members who need to know it to perform their duties.

The processing time is 45 days from the date of receipt of the complaint or question.

9) Application

This policy applies to the directors, employees, clients, consultants, and subcontractors of RocklandMD Surgery Center Inc.

It is implemented for all personal information and confidential data that the center collects, manages, and uses.
