We are currently looking for an Administrative Agent to join our Surgical Scheduling team.

The ideal candidate is organized, dependable, proactive, and comfortable working in a fast-paced environment. This person must be able to manage multiple priorities, solve problems independently, and contribute ideas to improve daily operations. 📋 Key Responsibilities

Reporting to the Team Lead, Surgical Scheduling, you will be responsible for the following:

  • Coordinate and follow up on surgical scheduling files.
  • Obtain missing information and ensure patient files are complete.
  • Manage monthly hospital operating room schedules.
  • Update scheduling procedures and templates, including endoscopy schedules.
  • Handle schedule changes and unexpected situations.
  • Learn and support scheduling processes for different specialties and hospitals.
  • Provide occasional coverage for Medical Records when needed and approved by the Team Lead.
  • Update physician information and operating room availability in the Opera system.
  • Perform other related administrative duties as required.

🎯 Qualifications

  • Experience in an administrative or scheduling role, preferably in a healthcare environment.
  • Proficiency with Microsoft Office, including Word, intermediate Excel, Outlook, and PowerPoint.
  • Excellent organizational, planning, and time-management skills.
  • Strong attention to detail.
  • Ability to manage multiple priorities and adjust them in a fast-paced environment.
  • Good judgment, logical thinking, and problem-solving skills.
  • Proactive, positive, and team-oriented approach.
  • Fluency in both French and English, spoken and written.
  • Understanding of patient confidentiality and privacy requirements.
